1) Purpose
This policy outlines the terms for booking, cancelling, and managing appointments made through our online booking system.
By booking online, you confirm that you have read and agree to these terms and conditions.
2) Booking Appointments
- Appointments can be booked online 24 hours a day via our secure booking portal.
- You will receive an email and/or SMS confirmation once your appointment is successfully booked.
- If you do not receive confirmation within 10 minutes, please contact the clinic to ensure your booking has been recorded.
- Certain appointment types (e.g. nail surgery, diabetic foot assessment, biomechanical evaluation) may require prior screening or approval. Our team may contact you to confirm suitability or adjust your booking if required.
3) Fees and Payments
- Current fees are displayed during the online booking process.
- Appointments require full prepayment to secure the booking.
- Payments are processed securely via our approved payment provider Stripe.
- Payments are non-refundable if you cancel or reschedule within the time period outlined in Section 4.
4) Cancellations and Rescheduling
- We kindly request at least 48 hours’ notice if you need to cancel or reschedule your appointment.
- Cancellations made with less than 48 hours’ notice, or failure to attend, will result in the loss of the appointment cost.
- You can cancel or reschedule using the link provided in your booking confirmation or by contacting the clinic directly by phone or email.
5) Fair Cancellation Policy (Optional Statement)
We understand that sometimes unforeseen circumstances arise.
Our Fair Cancellation Policy ensures a balance between protecting the clinic from late cancellations and being reasonable to our patients.
- If you need to cancel due to illness, emergency, or exceptional circumstances, please contact us as soon as possible.
- At our discretion, we may waive or reduce the cancellation fee in genuine or compassionate circumstances.
- Repeated short-notice cancellations may still be charged in full.
- This approach complies with CMA consumer protection guidance and the HCPC Standards of Conduct, Performance and Ethics, ensuring patients are treated fairly and respectfully.
6) Late Arrivals
- Please arrive promptly for your appointment.
- If you are more than 10 minutes late, we may need to shorten your treatment time to avoid delays for other patients.
- If you arrive too late for treatment to proceed safely, the appointment may be considered a missed appointment and fees may still apply.
7) Data Protection and Confidentiality
- All personal and medical data are handled in accordance with the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018.
- Information collected during online booking is used only for appointment management and clinical care.

8) Communication and Reminders
- Appointment confirmations and reminders are sent via email and/or SMS.
- Please ensure your contact details are accurate and up to date.
- By booking online, you consent to receive communications related to your care.

9) Medical Consent and Suitability
- By booking an appointment, you confirm that the information you provide is accurate.
- You agree to inform your podiatrist of any changes to your medical history, medications, or allergies.
- Some treatments require informed consent, which will be discussed and recorded at your appointment.
10) Emergencies
The online booking system is not suitable for urgent or emergency foot problems.
If you experience severe pain, infection, or a sudden injury, please contact the clinic directly or call NHS 111 for advice.
